What data we process

In connection with running the website and contacting users, we may process:

  • Contact data — name, email address, phone number, company name, message content — provided voluntarily when you contact us via email, phone or messenger.
  • Technical and analytical data — IP address (anonymised), browser type, operating system, referrer, time and length of visit, pages viewed, as well as interaction events measured by Google Analytics' Enhanced measurement feature: outbound link clicks (e.g. "call", "send email", links to social media) and scroll depth. Data is collected automatically only after you grant consent for analytical cookies, is aggregated and does not identify individual users.
  • Data resulting from contract performance — to the extent necessary to deliver the service (e.g. customer identification, vessel data, location, invoicing details).

Purposes and legal basis

We process personal data for the following purposes and on the following legal grounds:

  • Responding to enquiries and business correspondence — Art. 6(1)(f) GDPR (legitimate interest of the Controller in handling enquiries and conducting commercial correspondence).
  • Pre-contract steps and contract performance — Art. 6(1)(b) GDPR.
  • Compliance with legal obligations (accounting, tax) — Art. 6(1)(c) GDPR.
  • Website analytics (Google Analytics) — Art. 6(1)(a) GDPR (consent given via the cookie consent mechanism).
  • Establishing, exercising or defending legal claims — Art. 6(1)(f) GDPR.

Retention period

  • Contact correspondence — until the matter is closed and for the period required to document it, no longer than 3 years from the last exchange.
  • Contract-related data — for the term of the contract and the limitation period of resulting claims.
  • Data required by law (accounting, tax) — for the period required by applicable regulations (typically 5 years from the end of the financial year).
  • Analytical data (Google Analytics) — according to the default GA retention setting, no longer than 14 months.
  • Data processed on the basis of consent — until consent is withdrawn.

Recipients of data

Your data may be entrusted to the following categories of recipients acting on our behalf or providing services to us:

  • Hosting and email provider — dhosting.pl sp. z o.o. (storage of website data and email correspondence).
  • Analytics provider — Google Ireland Limited / Google LLC (Google Analytics) — only after consent is granted.
  • Accounting office — to the extent necessary for accounting and tax compliance.
  • Service partners and subcontractors — only to the extent and for the time required to deliver a specific order.
  • Payment operators, banks, law firms, public authorities — where required by law or necessary to deliver the service.

Transfers outside the EEA

In connection with the use of Google services (Google Analytics), your data may be transferred to the United States. The legal basis for transfer is:

  • The European Commission's adequacy decision regarding the EU–US Data Privacy Framework (DPF) — Google LLC is DPF-certified.
  • Standard Contractual Clauses (SCC) approved by the European Commission.

You can request a copy of the safeguards in place by contacting us at hello@sailsprojects.pl.

Your rights

In connection with the processing of your data, you have the following rights:

  • the right of access and to receive a copy of your data,
  • the right to rectification,
  • the right to erasure ("right to be forgotten"),
  • the right to restriction of processing,
  • the right to data portability,
  • the right to object to processing based on legitimate interest,
  • the right to withdraw consent at any time (without affecting the lawfulness of processing carried out before withdrawal),
  • the right to lodge a complaint with the President of the Personal Data Protection Office (Prezes UODO, ul. Stawki 2, 00-193 Warsaw, Poland) — the supervisory authority in Poland.

To exercise any of these rights, write to: hello@sailsprojects.pl.

Cookies and similar technologies

The website uses cookies — small text files stored on your device. We use two categories:

  • Necessary cookies — required for the website to function (e.g. remembering language preference, remembering your cookie choice). No consent required.
  • Analytics cookies — Google Analytics, used to count and analyse traffic. Loaded only after you grant consent in the cookie banner.

You can withdraw or change your consent at any time by clicking "Cookie settings". You can also manage cookies in your browser settings.

We use Google's Consent Mode v2 — Google Analytics collects no data until you grant consent.

Security and automated decisions

We apply appropriate technical and organisational measures to protect personal data — in particular encrypted connections (HTTPS/TLS), access control, and regular software updates.

Your data is not subject to automated decision-making, including profiling, that produces legal effects concerning you or similarly significantly affects you.

Providing personal data is voluntary but necessary to receive a response to your enquiry or to perform a contract.
